Code the Purchase in Slack — Don't Rework It in QuickBooks or Xero
October 1, 2026 · BuyFlow Team
Someone asks for a tool in Slack. You hit Approve. A week later the bill lands in QuickBooks or Xero with no class, no department, and the wrong expense account. Finance spends the close re-coding what the requester already knew at intake.
The decision and the coding should travel together. If your books need dimensions to report by team, location, or project, capture those fields on the Slack purchase request — before the yes becomes a vendor commitment.
Why the ledger needs more than an amount
QuickBooks Online and Xero both expect more than "Software — $1,200" if you want useful management reports.
In QuickBooks Online Plus and Advanced, class tracking tags income and expenses by department, product line, or other segments so you can run profitability and budgets by segment. Intuit also points teams with multiple sites to location tracking, and teams that bill jobs to Projects for cost and income by project (Intuit: class tracking; Intuit: add transactions to a project).
Practitioners who implement QBO classes and locations stress the same hygiene: enable "warn if not assigned," keep the list short, document when to use class vs location, and review unclassified transactions regularly — otherwise P&L-by-class reports fill with "Unspecified" (Debits guide to QBO classes and locations).
In Xero, tracking categories are the second layer on top of the chart of accounts — typically Department and Location (or similar). A Xero organisation can have at most two active tracking categories; options are assigned on invoice, bill, and journal lines so reports can compare segments without exploding the account list (Xero Developer: Tracking Categories; JacRox: how tracking categories work).
None of that works if the first place spend is approved — Slack — never asks for the codes.
The rework loop Slack emoji creates
When purchase asks live in DMs or a channel:
- The requester names a vendor and a price. Nobody picks GL account, class, location, tracking option, or project.
- Approvers say yes on business need alone.
- AP or bookkeeping invents coding when the invoice arrives — often guessing the department from the requester's Slack profile.
- Month-end: finance reclassifies, splits, and chases "which project was this for?" while department P&Ls stay wrong until someone fixes history.
Approval workflows that already sit in front of QuickBooks and Xero treat coding as a first-class field for a reason. ApprovalMax's approval matrix for Xero can route on Account and Tracking Category; for QuickBooks Online it can route on Category, Class, Location, and Customer (ApprovalMax: approval matrix). ProcureDesk's Xero PO flow imports chart of accounts, tracking categories, and projects so those codes are assigned on the purchase order before the bill (ProcureDesk: Xero PO app).
If routing and reporting depend on those fields, capturing them only after the Slack yes is backwards.
What "coded at request" means in practice
At Slack intake, require the same dimensions you will post in the ledger:
| Field | QuickBooks Online | Xero |
|---|---|---|
| Expense / GL account | Category / account on the bill or expense | Account code on the bill line |
| Department / segment | Class (and/or Location) | Tracking category option(s) |
| Job / client work | Customer/Project on the cost line | Project (when you use Xero Projects) or a tracking option |
| Tax | Tax code if your org needs it at entry | Tax rate on the line |
You do not need every optional field on every request. You need the ones your P&L-by-segment and project reports actually use — and you need them before Approve, not as a finance cleanup task.
Intuit's own Projects guidance is explicit that costs get assigned when you record the bill, check, or expense by selecting the project in the Customer/Project field (Intuit: add transactions to a project). If the Slack approval already named that project, booking is copy-forward. If it did not, someone is reverse-engineering intent from a thread.
A checklist for Slack-first QBO/Xero teams
Decide which dimensions are mandatory. Mirror what you already report on: e.g. GL account + class in QBO, or account + Department tracking in Xero. Keep lists short — Intuit and Xero practitioners both warn that too many classes or tracking options makes entry slow and reports noisy (Intuit: class tracking; JacRox).
Put those fields on the purchase request form in Slack. Dropdowns tied to your live chart of accounts and class/tracking lists beat free-text "Marketing?" Prefer the same names finance uses in the books.
Make Approve block on missing codes. No class / no tracking option / no project when the policy requires one → return for more info, not a silent emoji yes. Enable QBO's warn-if-unassigned as a second line of defense when the bill is booked (Debits).
Let coding drive who reviews. Department tracking or class can route to the budget owner; large amounts still go to finance. That is the same pattern ApprovalMax documents for Xero tracking categories and QBO class/location conditions (ApprovalMax).
Sync approved requests with codes intact. When the approved purchase becomes a bill or expense in QuickBooks or Xero, carry account, class/location or tracking, and project forward. Finance reviews exceptions; they should not re-key every line from scratch.
Review "no tracking / unspecified" weekly. Xero teams often filter account transactions with no tracking; QBO teams watch Unspecified class/location. Fifteen minutes beats a close-week archaeology project (JacRox; Debits).
What this is not
This is not asking every employee to become a bookkeeper. It is asking the person who knows "this is for the Acme rollout in the East region" to say so once, in the same Slack ask where they request the spend.
It is also not a substitute for bill approval or three-way match. Coding at purchase approval means the commitment is labeled correctly. Matching and payment still happen when the invoice lands.
What BuyFlow is for
BuyFlow is Slack purchase approval that syncs into QuickBooks or Xero. No corporate card. No payment rails. The point is a clean decision trail before money moves — including the account and dimension fields your books need so Approve does not create a coding debt for close.
If your team already segments the P&L with classes, locations, tracking categories, or projects, start requiring those fields on the Slack request. The ledger will still be the system of record. It should not be the first place anyone asks which department owned the purchase.
